How to Compress a PDF to a Specific Size (100KB, 200KB, 500KB)
Job portals, exam boards, visa applications, and government forms are notorious for hard, exact upload limits: "PDF must be under 100KB," "under 200KB," "under 500KB." Unlike compressing a file to email it, where anything under roughly 25MB is fine, these forms enforce a precise ceiling and reject anything larger with no leeway. This guide explains what actually determines a PDF's size, how to get as close to a small target as possible, and — just as importantly — what to do when compression alone will not get you there.
Why there is no universal way to hit an exact KB target
It is worth being upfront about this: no PDF tool, ours included, can promise an exact output size like precisely 100KB for every file. A PDF's size depends almost entirely on what is inside it. A one-page document that is mostly typed text can already be a few KB. A single scanned page saved as a high-resolution photo can be several megabytes on its own, because the bulk of the size is image data, not structural overhead. Compressing the same target percentage off two different files produces very different results.

That reliably shrinks bloated files, especially ones exported repeatedly from Word or Google Docs, but it does not re-sample or downscale image pixels. Step by step: getting a PDF under a strict size limit

- Under 100KB: Realistic for a single page of plain text, or a photo ID/signature scanned at a modest resolution and saved as a compressed JPEG before conversion. A full-resolution photo almost never fits here without re-exporting it smaller first.
- Under 200KB to 500KB: Comfortable for a few pages of text, or one or two lightly compressed scanned pages.
- Under 1MB: Usually enough for a short multi-page document with a couple of scanned or photographed pages at reasonable quality.
If a form asks for a specific size and also accepts a specific format like JPG for a photo or signature, uploading that element as its own compressed image (rather than wrapping it in a PDF at all) is often the simplest way to clear a very tight limit.
Honest limitations
